Shipping Note

Shipping notes for machine deliveries, including crate handling, offload planning and site readiness before arrival.

How a Shipping Note keeps delivery clear

The Shipping Note explains what to prepare before a machine delivery reaches your workshop. It covers crate handling, offload planning and site readiness so the machine can be moved in safely.

Before dispatch, note the machine model, crate size, and delivery town on the Shipping Note. Include whether the route ends in Somerset West, central Cape Town, Durban, Johannesburg, or a smaller industrial area where truck access can be tight. Add any load-shedding arrangements if power is needed for testing after offload.

A clear gate or yard photo helps the driver judge turning space before arrival. Keep the Shipping Note with the order file or print it for the person receiving the crate on site. That record helps prevent damaged panels, blocked access, or a machine left where it cannot be moved safely.

Crate and site details

Delivery details should be clear enough to check on the day. Record the offload method, the contact person on site, and any access limits such as narrow gates, low awnings, gravel yards, or shared driveways. The note must match the actual workshop entrance, not the postal address.

Use the Shipping Note to tie the delivery address to the machine paperwork before collection. Check crate count, machine description, and access instructions again before the truck leaves. Tell the Somerset West team the material and sheet size you plan to cut, and we will match a router, CO₂ laser or profile cell.

  • Delivery address checked against truck access
  • Forklift, pallet jack, or manpower listed
  • Site contact named for handover

Cape delivery conditions to note

Workshops in the Western Cape often have steep driveways, shared units, and limited room beside the roller door. The Shipping Note should state if the crate must stay under cover, if a tail lift is required, and whether another tenant blocks part of the access route. Mention sheet stock, extraction ducting, or packing benches that reduce manoeuvring space.

Coastal weather can matter when a crated CO₂ laser or router waits outside during offload. Strong wind, rain, or damp morning conditions should be noted if the route from truck to workshop is exposed. For inland deliveries, dust and uneven yard surfaces are worth listing where pallet wheels or skates will be used.

Handover points on arrival

List the delivery address, access for offloading, forklift or manpower available, contact person, and any site limits that affect machine delivery or crate handling.

Once the machine reaches site, file the signed Shipping Note with the delivery record and photos. Pair it with the machine checklist if the buyer, installer, or workshop manager needs a traceable handover. Keep any notes about visible crate damage, missing items, or access problems on the same document.
